Members Privacy Conditions:
When you join the choir, or become a Friend, we record your name, email and postal address, telephone number, voice part and whether or not your subscription is Gift Aided. We also keep a variety of non-personal information (music borrowed, fees paid, year in which you last sang in the choir, committee membership). This information is recorded in an offline database. It is password-protected.
We will contact you regularly about choir matters, giving you news about the choir, informing you about rehearsals, the AGM, concerts and other choir events, inviting your feedback and for administrative information associated with the choir or this list. Contact is normally by email but at our choice may be by telephone, text or surface mail. We process your data for administrative purposes to create and print membership lists. We also record rehearsal and concert attendance as well as ticket sales.
Your personal information is never revealed to others or used to send messages on behalf of third parties. Member-to-member communication will only be with prior consent. The only exception is that we will reveal your name, address and donation amounts to HMRC if you have given us permission to claim Gift Aid. In the unlikely event of suspected illegal activity we would also be obliged to disclose personal information to law enforcement officials.
If you have not sung with the choir for a period of our choice, usually five seasons, your personal information will be deleted from the Members List. It is then moved to a Past Members’ List and used to inform you about concerts or special events. You can also ask to see your personal information or ask for it to be deleted at any time by contacting [email protected]
